How to Move School Records from Excel to a School Management System
A safer migration plan for schools moving student, class, attendance, and assessment records from spreadsheets into a structured system.
Inventory and protect the source files
List the spreadsheets, paper records, owners, date ranges, and fields the school currently relies on. Make protected copies before changing anything and decide which records must be migrated, archived, or verified manually.
Do not import every column simply because it exists. Define what the new system needs and who is responsible for confirming the source data.
Clean and map the data
Duplicate names, inconsistent class labels, missing guardian details, different date formats, and spelling differences can create problems after import. Agree identifiers, field formats, required values, and rules for resolving duplicates before the first migration.
Use a small sample to test the mapping. Have school staff check the result against known records instead of assuming that a successful upload means the data is correct.
Roll out in a controlled way
Plan a pilot with a manageable set of classes or records, train the staff involved, and keep a read-only source copy during the transition. Compare totals and representative records after import, then document corrections.
Once the school trusts the new workflow, set a cutover date, define who may edit records, and establish backups, exports, support, and a process for new data.
